APPOINTMENT ATTENDANCE

To ensure accurate recommendations, clear communication, and proper project planning, Arbor Wise LLC requires a homeowner, property manager, authorized representative, or individual with decision-making authority to be present during all quote appointments. 

Arbor Wise LLC does not provide quotes solely based on unattended site visits except under special circumstances approved in advance.

QUOTE VALIDITY

All quotes are valid for thirty (30) calendar days from the date issued unless otherwise stated in writing. Pricing, scheduling availability, and scope of work may be subject to change after this period.

SCOPE OF WORK

Only the services specifically listed within the approved quotes are included in the project scope. Any additional requested services, changes in scope, or unforeseen site conditions may require additional charges and written approval prior to completion.

DEPOSITS

For approved quotes exceeding $2,000, a deposit equal to 50% of the quoted total may be required prior to scheduling or commencement of work. The remaining balance is due upon completion of services unless otherwise agreed to in writing.

PERMITS & HOA APPROVALS

The Client is responsible for verifying and obtaining any required HOA approvals, city permits, or other authorizations prior to the start of work unless otherwise agreed to in writing. Arbor Wise LLC may provide general guidance as a courtesy but assumes no responsibility for permit or HOA approval requirements.

HIDDEN TREE DEFECTS

Trees may contain hidden structural defects, decay, root issues, or other hazardous conditions not visible during routine inspection. Arbor Wise LLC shall not be responsible for tree failures, property damage, or conditions that could not reasonably be identified prior to work being performed.

CLIENT-INITIATED CANCELLATIONS OR RESCHEDULING

Deposits may be retained in whole or in part to cover scheduling impacts, reserved labor, equipment allocation, administrative costs, or lost production time if services are canceled or rescheduled with less than 48 hours’ notice.

WEATHER AND SAFETY DELAYS

Arbor Wise LLC reserves the right to delay or reschedule services due to unsafe or unsuitable working conditions, including but not limited to rain, wind, lightning, snow, ice, excessive heat, saturated ground conditions, or other safety concerns.

If services must be postponed due to weather or safety considerations, Arbor Wise LLC will make reasonable efforts to communicate schedule changes promptly and reschedule services at the next practical availability.

PROPERTY ACCESS

The Client is responsible for providing safe and reasonable access to the work area during scheduled services. Gates should be unlocked, vehicles moved as necessary, and pets secured prior to crew arrival.

SITE CONDITIONS

The work area should be reasonably clear of excessive pet waste, debris, or obstructions before work begins. Arbor Wise LLC reserves the right to charge an additional cleanup fee if excessive site preparation is required prior to performing services.

LAWN & PROPERTY DISTURBANCE

Arbor Wise LLC will take reasonable precautions to minimize disturbance to lawns, landscaping, irrigation systems, fences, driveways, sidewalks, and surrounding property during operations. However, due to the nature of tree work and the use of heavy equipment, minor lawn, soil, or landscape disturbance may occur despite reasonable precautions.

Arbor Wise LLC shall not be held responsible for unavoidable minor impacts resulting from normal tree care operations.

UNDERGROUND UTILITIES & PRIVATE LINES

If stump grinding services are included, Arbor Wise LLC will arrange public utility locates through the appropriate utility notification service as a courtesy at no additional cost.

The Client remains responsible for identifying and clearly marking all private underground utilities and systems prior to work beginning, including but not limited to:

• irrigation systems,
• invisible dog fences,
• septic systems,
• private electrical lines,
• landscape lighting,
• propane lines,
• drainage systems,
• and other underground improvements.

Arbor Wise LLC shall not be responsible for damage to unmarked or undisclosed underground systems or utilities.

DEBRIS REMOVAL

Unless otherwise specified within the approved quote, Arbor Wise LLC will remove debris generated from services upon completion of work.

At the Client’s request, certain materials such as wood chips, logs, or firewood may be left onsite in designated areas. Any requested onsite material placement should be discussed during the quote process prior to scheduling services.

CLIENT PRESENCE

Following the initial walkthrough and quote process, the Client’s presence is not required during scheduled services unless otherwise requested in writing.

Our team will perform work according to the approved quote, site walkthrough discussions, and agreed-upon project scope. Clients may feel confident knowing that all project details, access requirements, and work expectations will be reviewed prior to the scheduled service date.

CANCELLATIONS & RESCHEDULING - UPDATE THIS!

Deposits may be retained in whole or in part to cover scheduling impacts, reserved labor, equipment allocation, or administrative costs if services are canceled or rescheduled with less than 48 hours’ notice.

COMPLETION OF WORK

Work shall be considered substantially complete upon completion of the services described within the approved quote. Any concerns regarding completed work should be communicated within forty-eight (48) hours of project completion.

PAYMENT DUE DATE

Payment for completed services is due within seven (7) calendar days of project completion unless otherwise agreed to in writing.

ACCEPTED PAYMENT METHODS

Arbor Wise LLC accepts payments in the form of:

• Cash
• Check (made payable to “Arbor Wise LLC")
• ACH Transfer
• Credit Card

Clients paying by check are requested to provide payment onsite upon completion of services unless alternative arrangements have been coordinated and approved by Arbor Wise LLC in advance.

LATE PAYMENTS

Balances not paid within seven (7) calendar days of project completion may be subject to additional collection efforts, reasonable service charges, interest permitted under applicable Colorado law, lien rights where applicable, and/or legal remedies available to Arbor Wise LLC.

RETURNED PAYMENTS

Returned checks, failed ACH transfers, disputed credit card charges, or other reversed payments may be subject to additional processing fees and collection costs.

INVOICE ACCEPTANCE

Submission of payment acknowledges satisfactory completion of the services provided unless written concerns are submitted by the Client within forty-eight (48) hours of project completion.
